Artificial intelligence in HR is not just a chatbot answering employee questions. Next-generation autonomous AI agents are systems capable of perceiving context, reasoning on structured data, and executing concrete actions — sending an alert, triggering a workflow, generating a report, or escalating to a human when the situation calls for it. At Mawered, five AI agents are currently in production in our clients' HRIS systems. Here is what they actually do, with measured results.

What Is an Autonomous AI Agent in HR?

An autonomous AI agent differs from a simple analytics tool by its ability to act without human intervention on each step of its workflow. Where an HR dashboard shows data and waits for a human to decide what to do with it, an AI agent analyzes, decides and acts — then informs the human of the result.

In practice, an autonomous HR agent has three fundamental capabilities:

  • Perception: real-time access to HRIS data (time tracking, contracts, absences, payroll, performance reviews)
  • Reasoning: use of a language model to interpret context and identify relevant actions
  • Action: execution of system operations (send a notification, create a task, generate a document, trigger an approval)

This architecture allows each agent to operate continuously, 24/7, without an HR manager actively monitoring it. It surfaces only when action is required or when a decision needs human validation.

Agent 1: HRAnalystAgent — The HR Analyst That Never Sleeps

The HRAnalystAgent is a conversational agent connected in real time to all HRIS data. It answers questions from HR directors and managers in natural language, drawing on the company's actual data — not generic data or market averages.

Examples of questions it answers instantly:

  • "What is the average absenteeism rate by department this quarter?"
  • "Which employees have fixed-term contracts expiring in the next 30 days?"
  • "How has total payroll evolved compared to the same month last year?"
  • "How many overtime hours were generated at the Sfax site in June?"

The difference from a SQL query or a standard report: the agent understands the intent behind the question, knows which table to query, and presents the result in a format adapted to context — a table if multi-row comparison is needed, concise text if the question calls for a direct answer. Managers using this agent report a 70% reduction in time spent searching for HR information before executive meetings.

Agent 2: ContractWatcherAgent — Zero Renewal Oversights

The ContractWatcherAgent continuously monitors the expiry dates of all fixed-term contracts (CDD) registered in the HRIS. Its role is to ensure that no contract reaches its end date without the HR team having had time to consciously decide whether to renew it, convert it to a permanent contract, or proceed with a separation within legal deadlines.

Its operation is simple but effective:

  1. D-30: first alert sent to the direct manager and the relevant HR manager.
  2. D-15: automatic follow-up if no decision has been recorded in the system.
  3. D-7: escalation to the HR director if the contract is approaching without a validated decision.
  4. D-0: contract end notification and automatic archiving of the file in legal documents.

Beyond alerts, the agent can automatically generate a renewal amendment pre-filled with information from the existing contract, submitted for signature via the e-signature module — reducing administrative processing time from several days to a few hours. Companies using this agent report zero renewal oversights since deployment, versus an average of 2 to 3 incidents per year with manual management.

Agent 3: AnomalyResolverAgent — Real-Time Anomaly Detection

The AnomalyResolverAgent continuously analyzes attendance data collected by biometric terminals and identifies anomalies that merit attention. It doesn't just flag obvious anomalies (missing clock-out, lateness exceeding 30 minutes) — it also detects emerging behavioral patterns that may indicate a deeper problem.

Types of anomalies detected:

  • Point-in-time anomalies: forgotten clock-out, double punch, time inconsistent with the assigned schedule.
  • Recurring patterns: systematic late arrivals on the same day of the week, progressively more frequent absences over 4 to 6 weeks, divergences between the planned schedule and actual attendance.
  • Burnout signals: accumulation of unrecovered overtime hours over several weeks, correlated with a drop in engagement score if the wellbeing module is active.

For each anomaly, the agent proposes a recommended resolution: automatic correction if the rule is clear (e.g., closing a forgotten punch according to the schedule), or submission for human validation if the situation is ambiguous. The HR manager receives a daily summary of resolved anomalies and those awaiting their decision — not an infinite stream of alerts, but an actionable digest.

Agent 4: OnboardingAgent — Automated New Employee Integration

The OnboardingAgent orchestrates the entire integration journey of a new employee, from converting a recruited candidate into an employee record to validating the probationary period. Its trigger is automatic as soon as a candidate moves to "Hired" status in the recruitment module.

Here is what it coordinates without human intervention:

  • Creation of the employee file with pre-fill from candidate application data.
  • Sending the welcome kit by email with links to documents to sign (contract, internal regulations, IT charter) via the e-signature module.
  • Automatic assignment of the schedule, public holiday calendar and badge profile based on the assigned site.
  • Manager notification with onboarding checklist for Day 1, Day 7 and Day 30.
  • Reminder at Day 60 to schedule the mid-probation interview and at Day 90 for the confirmation decision.

Companies that had a 5 to 7-day onboarding process (from hiring decision to the new employee's first system login) have moved to less than 24 hours after deploying the agent.

Agent 5: PayrollClosingAgent — The Monthly Closing Assistant

The PayrollClosingAgent intervenes at the end of each pay period to assist the HR manager with pre-closing verification checks. Its role is not to replace the manager — it is to ensure that no error slips through the net before payslips are issued.

It automatically performs the following controls:

  • Reconciliation between declared working days and raw time tracking logs.
  • Verification that all variable elements (bonuses, overtime, allowances) have been entered and validated.
  • Detection of inconsistencies: gross salary exceeding the CNSS ceiling without explanation, employee with no time tracking for the entire period without a recorded justified absence, duplicate entries.
  • Automatic generation of a pre-closing control report listing points to resolve before payroll processing.

After resolution of flagged points, the agent can trigger the final payroll calculation and prepare bank transfer files and social declaration files in the format expected by local authorities (e-CNSS in Tunisia, Damancom in Morocco, DSN in France). HR managers using it report an 80% reduction in payroll errors detected after payslip issuance.

How to Activate and Configure Agents in Mawered

All five agents are available from the AI Agents menu in Mawered, accessible to administrators and HR managers according to configured permissions. Activation is per agent — allowing you to introduce automation progressively rather than switching everything at once.

Agent Activation menu Key parameters to configure Activation delay
HRAnalystAgent AI Agents → HR Analyst Data scope (all sites or specific site), response languages (FR/EN/AR) Immediate upon activation
ContractWatcherAgent AI Agents → Contract Monitoring Alert timelines (D-30/D-15/D-7 by default, customizable), recipients (direct manager, HR, CHRO), amendment template to generate Active from the following day (daily scan)
AnomalyResolverAgent AI Agents → Punch Anomalies Detection thresholds (lateness > X min, unjustified absence > Y days), auto-resolution vs human validation rules, daily report send time Immediate — analyzes the last 30 days of history
OnboardingAgent AI Agents → Onboarding Welcome email template, documents to sign (contract, IT charter, internal regulations), manager check-in timelines (D+1/D+7/D+30 by default) Active from the next hire in the recruitment module
PayrollClosingAgent AI Agents → Payroll Closing Closing period (monthly by default), inconsistency detection rules, pre-closing report recipient, automatic or manual trigger Active from the next pay period

Agents in Interaction: How They Coordinate

The five agents do not operate in silos — they share HRIS data and trigger each other in specific scenarios. The main interactions in production:

  • OnboardingAgent → AnomalyResolverAgent: when a new employee is onboarded, the OnboardingAgent synchronizes their registration number to ZKTeco biometric terminals via the ADMS protocol. The AnomalyResolverAgent immediately begins monitoring — useful for detecting punch anomalies common during initial onboarding (forgotten badges, In/Out confusion).
  • AnomalyResolverAgent → PayrollClosingAgent: at monthly closing, the PayrollClosingAgent automatically incorporates the resolved and pending anomaly summary produced by the AnomalyResolverAgent. Corrected punches flow into the payroll calculation; unresolved anomalies appear as blocking items in the pre-closing report, forcing a human decision before payslip issuance.
  • ContractWatcherAgent → OnboardingAgent: if a fixed-term contract converted to permanent is confirmed in the system following a ContractWatcher alert, the OnboardingAgent can trigger a document update workflow — generating and sending the amendment for electronic signature, automatically archiving the old fixed-term contract in the employee's digital file.
  • HRAnalystAgent ← all agents: the HRAnalystAgent can be queried in real time on the status of all agents — "Which punch anomalies were detected this week?", "Which fixed-term contracts expire in the next 30 days?", "What is the payroll closing status for this month?" — consolidating data from all agents into a unified natural language response.

The Essential Limit: The AI Agent Is Not the Decision-Maker

An important point of vigilance: in all cases where a decision has significant legal or human impact — dismissal, disciplinary action, rejection of a disputed leave request, contract modification — Mawered agents do not make autonomous decisions. They prepare, alert, recommend, and escalate to the responsible human. The final decision always remains with the HR manager or relevant line manager.

This "human in the loop" architecture is not a technical limitation — it is a deliberate design choice. AI is there to amplify the action capacity of HR teams, not to short-circuit them on decisions that engage the employment relationship.
